The Cobb Association of REALTORS® (“Cobb REALTORS®,” “we,” “us,” or “our”) is a professional membership organization serving real estate professionals in Cobb County, Georgia. Our principal place of business is located at 444 Manget Street SE, Suite 100, Marietta, GA 30060.

This Privacy Policy applies to our website at cobbrealtors.com, our member portal, event registration systems, and any other digital services we operate or communicate through. By using our website or submitting your information to us, you agree to the practices described in this policy.

We collect information in several ways — directly from you, automatically when you use our website, and from trusted third-party sources connected to the real estate industry.

Information You Provide Directly
  • Membership information — name, real estate license number, brokerage, mailing address, phone number, and email address collected during application and renewal.
  • Payment information — credit card or bank account details submitted when paying dues, registration fees, or other charges. Payment data is processed through secure third-party processors; we do not store full card numbers.
  • Event registrations — attendance preferences, dietary restrictions, and contact information collected when you register for classes, events, or programs.
  • Forms and correspondence — any information you submit through our contact forms, surveys, scholarship applications, or direct communications with staff.
  • Account credentials — username and password created for access to our member portal.
Information Collected Automatically
  • Log and device data — IP address, browser type, operating system, referring URLs, pages visited, and timestamps collected when you access our site.
  • Cookies and similar technologies — session identifiers, preferences, and analytics data. See the Cookies & Tracking section for details.
  • Usage patterns — which resources, education offerings, or member tools you access and how often.
Information from Third Parties
  • NAR and Georgia REALTORS® — member records, license verification, and training completion status shared through the three-way REALTOR® organization structure.
  • Georgia Real Estate Commission (GREC) — license status and disciplinary information relevant to membership eligibility.
  • Event and payment platforms — registration confirmations and transaction data from services we use to administer programs.

How We Use Your Information

We use the information we collect for purposes directly related to serving our members and operating as a professional association:

  • Membership administration — processing applications, renewals, dues payments, and maintaining your membership record.
  • Communications — sending membership updates, event announcements, legislative alerts, educational opportunities, and other notices relevant to your membership.
  • Education and training — registering you for courses, tracking completion for CE credit requirements including Code of Ethics training, and issuing certificates.
  • Events and programs — coordinating attendance, accommodations, and participation in meetings, networking events, and association activities.
  • Compliance and governance — verifying licensing status, administering professional standards and ethics processes, and meeting obligations under NAR and Georgia REALTORS® policies.
  • Website improvement — analyzing usage data to understand how our digital resources are used and where they can be improved.
  • Legal obligations — meeting any requirements imposed by applicable law, regulation, or court order.

We do not sell your personal information for commercial marketing purposes, and we do not use your data to build advertising profiles.

We share member information only when necessary to carry out association functions, fulfill our obligations, or when required by law. We do not sell, rent, or trade your personal information to outside parties for their own marketing purposes.

REALTOR® Organization Partners

As part of the three-way REALTOR® agreement, certain membership data is shared with the Georgia Association of REALTORS® (GAR) and the National Association of REALTORS® (NAR) to maintain your membership record, track training requirements, and provide member benefits at the state and national level.

Service Providers

We engage trusted vendors to help operate our website, process payments, manage event registrations, and deliver communications. These providers access your information only as needed to perform services on our behalf and are contractually bound to protect it.

Member Directory

Basic professional information — name, brokerage, and contact information — may appear in our public REALTOR® directory or be accessible to other members through the member portal. You may contact us to request changes to your directory listing.

Legal and Regulatory Requirements

We may disclose information when required by law, regulation, subpoena, or valid legal process, or when we believe disclosure is necessary to protect the rights, property, or safety of our members, staff, or others.

Affiliate and Sponsor Recognition

Affiliates and event sponsors may receive limited information — such as attendee names and companies — relevant to events they sponsor. This information is provided only for purposes directly related to the event or sponsorship relationship.

Cookies & Tracking

Our website uses cookies — small text files placed on your device — and similar technologies to support site functionality, remember your preferences, and understand how visitors use our resources.

Essential
Required for the site to function — login sessions, security tokens, and form submissions. These cannot be disabled without affecting site functionality.
Functional
Remember your preferences, such as language settings or saved form data, to improve your experience across visits.
Analytics

Data Security

We take reasonable administrative, technical, and physical measures to protect the personal information we hold. Our website uses SSL/TLS encryption for data transmitted between your browser and our servers, and access to member records is restricted to authorized staff.

Payment transactions are processed through PCI-compliant third-party processors. We do not store full credit card numbers or sensitive financial account data on our own systems.

No system can guarantee complete security. If you have reason to believe your account or personal information has been compromised, please contact us immediately using the information in the Contact Us section below.

Section 7

Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this policy, to maintain complete membership records, and to comply with applicable legal and regulatory requirements.

Active membership records are maintained for the duration of your membership. Following termination or resignation of membership, we retain records as required to resolve open matters, meet accounting and audit obligations, and comply with association governance requirements.

Website analytics and log data are typically retained for 26 months in aggregated form and are not linked to individual identities after a reasonable period.

Your Rights & Choices

You have the right to access, correct, or update the personal information we hold about you. If you believe any information in your membership record is inaccurate or incomplete, please contact our Membership Team so we can make the appropriate correction.

Email communications — You may opt out of non-essential email communications, such as newsletters or promotional announcements, by clicking the unsubscribe link in any email or by contacting us directly. Note that membership-related notices (dues reminders, compliance updates, required disclosures) cannot be opted out of while your membership is active.

Directory listing — You may request updates or restrictions to your listing in our public member directory by contacting us.

Data requests — You may request a copy of the personal information we hold about you, or ask us to delete non-essential information, by contacting us in writing. We will respond within a reasonable timeframe and explain any limitations that apply (for example, information required for membership administration or legal compliance).

Section 9

Children’s Privacy

This website is intended for use by a general audience and does not offer services to children. Should a child whom we know to be under 18 send personal information to us, we will use that information only to respond to that child to inform them that they cannot use this website.

Policy Updates

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or applicable law. When we make material changes, we will update the “Last Updated” date at the top of this page and, where appropriate, notify members directly via email or a notice on our website.
